Job Description

As an Administrative Executive, you will be responsible for providing administrative support to ensure efficient operation of the office. You will support managers and employees through a variety of tasks related to organization and communication. The ideal candidate will be well-organized, detail-oriented, and able to handle a variety of tasks simultaneously.

Key Responsibilities

  • Oversee and maintain office operations, ensuring smooth running of day-to-day activities.
  • Manage office supplies inventory and place orders when necessary.
  • Organize and schedule meetings and appointments.
  • Provide administrative support to managers and employees as needed.
  • Prepare and modify documents including reports and emails.
  • Serve as the point of contact between the operation department and clients.
  • Maintain and update filing systems, both electronic and physical.
  • Ensure accuracy and completeness of data in various databases and spreadsheets.
  • Coordinate travel arrangements and accommodations for employees.
  • Assist in planning company events.
  • Manage logistics for events, including venue booking, catering, and transportation.
  • Communication with US clients via email.
  • Attend the US client meetings for data management and task understanding.

Qualifications

  • Proven experience as an administrative assistant, virtual assistant, or office admin assistant.
  • Knowledge of office management systems and procedures.
  • Proficiency in MS Office (MS Excel and MS Word, in particular).
  • Excellent time management skills and ability to multitask and prioritize work.
  • Attention to detail and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Discretion and confidentiality.
